What is an Operation & Maintenance Manual (O&MM)?

An Operation and Maintenance Manual (O&MM) is a single detailed document containing the instructions to manage and maintain a certain piece of equipment or a specific Building, Facility, or Property.

O&MM's provide the Owner and Operator with up-to-date, as-built information relating to how the equipment and systems have been designed, installed, commissioned, and set to work, whilst providing an efficient understanding of the operation and maintenance requirements on an ongoing basis and in a safe working manner.

Operation and Maintenance Manuals are crucial for organisations wanting to optimise Asset Management and preserve their assets to continue to provide reliable service throughout their expected lifespan.  

O&MM's outlines how to safely complete efficient operating procedures, preventative and routine maintenance, and safety inspections. O&MM’s helps eliminate ambiguity by providing step-by-step instructions for tasks that are susceptible to misinterpretation and mishandling.  Without an O&MM, organisations can risk experiencing increased workplace accidents, decreased quality control, reduced asset life cycle, and inefficient use of an organisation’s resources and finances.

Defence Operation & Maintenance Manuals (O&MM)

Large organisations such as Defence rely more heavily on an O&MM to ensure consistency in processes and production. 

Defence O&MM’s are a cut above the rest as they are required to be documented in accordance with the Defence Estate Quality Management System (DEQMS), which have detailed standard requirements to ensure they are presented in a concise, simple, and useful format that can be stored and accessed on Defence Estate Information Systems (DEIS).

ETE Solutions assist Defence with developing new O&MM's and work with specific document formatting for each discipline (Volume), such as Electrical, Mechanical, Structural, Communications, etc. when providing Defence with Building and Base Infrastructure Systems and O&MM's. The O&MM also ensures Defence is provided with Work Health and Safety (WHS) information necessary for Defence to discharge its duties as a person conducting a business or undertaking (PCBU) to workers and other persons under the Work Health and Safety Act 2011 (Commonwealth) and it's associated regulations (collectively WHS Legislation).

Who can prepare an O&MM?

A Technical Writer or Designer who is experienced in the production of manuals and worked on Project Management, coordination, and production from start to finish has the potential to document the required O&MM.  The Person should have worked with the Project Design and Construction Teams to ensure that the manual is of the highest quality and includes the correct and legislative information.
